About the Role
The Executive Office Manager provides high-level administrative and operational support to the Executive Office, ensuring smooth coordination, confidentiality, and efficiency across hotel leadership functions. This role requires strong organizational skills, discretion, and prior experience in a similar executive support role within the hospitality industry.
Key Responsibilities
Manage and coordinate the daily operations of the Executive Office, supporting the General Manager and Executive Committee.
Act as a central point of contact between the Executive Office and internal departments, owners, and external stakeholders.
Handle confidential information with the highest level of discretion and professionalism.
Manage executive calendars, meetings, travel arrangements, and correspondence.
Prepare reports, presentations, meeting agendas, and minutes for executive and board-level meetings.
Track follow-ups, action items, and deadlines to ensure timely execution.
Coordinate executive communications and ensure alignment across departments.
Support strategic initiatives, projects, and special assignments as directed by senior leadership.
Ensure proper document control, filing systems, and compliance with company policies.
Assist with internal communications, announcements, and executive events.
Maintain professional standards of presentation, communication, and conduct within the Executive Office.
Requirements
Proven experience as an Executive Office Manager, Executive Assistant, or similar senior administrative role within a hotel or luxury hospitality environment.
Experience in the UAE or GCC region preferred.
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication skills in English plus one European Language.
High level of discretion, professionalism, and attention to detail.
Ability to work independently and handle multiple priorities in a fast-paced environment.
Strong proficiency in MS Office and executive reporting tools.
Professional appearance and grooming standards suitable for a hotel environment.
